IMPORTANT: The OWHA and HGHA policy is that ALL team staff who will be behind the bench, on the ice, or in the dressing room need to submit a clear police records check, including vulnerable sector screening (VSC).
PLEASE FOLLOW THESE STEPS TO BECOME A ROSTERED VOLUNTEER FOR ANY TEAM: This includes coaches, assistant coaches, trainers and managers.
1: Please fill out the coaching application found under the Coaching/Staff tab on the website first.
2: Once you have been notified that you have a coach or team staff position: Please use the link for the letter that is for what you have applied for and fill out the letter with your information in the open spots. You can then use this letter to apply for your police record check/vulnerable sector for free:

Your Vulnerable Sector Screening is valid for 3 years from date of issue, but you will need to submit a Criminal Offence Declaration on years 2 and 3

What to Know for 2025-2026
Team Officials, On-Ice Officials, Third-Party Instructors, and others returning for the 2025-2026 season who had their screening approved by the OHF this past season — with a Vulnerable Sector Check (VSC) from 2023 or 2024 — will only need to complete the online declaration through the OHF Online Submission Portal. ** You will need your HCR (Hockey Canada Registry) #. 4: You will need to complete the online course "Respect in Sports for Activity Leaders" You can access it from this link: Respect in Sports for Activity Leaders
5: NEW 2025/2026 - You will need to complete the Gender Identity and Expression course through Spordle. Here is the link: Clinic Registration | ONTARIO HOCKEY FEDERATION
6: Once you have your VSC and/or Criminal declaration you have 2 things to do:
1A. If you don't already have a Spordle account, go to Spordle Login and make an account.
If you already have a Spordle account or have just made one (log out) and click this link to upload your VSC: Ontario Screening Submission Portal It is VERY IMPORTANT that you ONLY use THIS LINK to UPLOAD your VSC. Do not upload it in your Spordle account, they will not approve it there.

1B. After you have uploaded your VSC in the Ontario Screening Submission Portal and have your Respect in sport for activity leader certificate, please go to: RAMP Registrations
If you have a login for the RAMP system from registering your daughter or yourself in previous years, please use that login and password. If you have never used the system please create a new account. Use the forgot password link if needed.... Please DO NOT create a duplicate account.
7: Once logged in use the COACH/STAFF REGISTRATION option and enter all of the requested information - including updating your certification information. Please ensure you fill in the Respect In sport, date completed as well as any trainer/coaching certifications you may have that are not showing on your profile.
8: The NCCP (National Coaching Certification Program) certificate number is a required field. For assistant coaches, managers and trainers that don't require any NCCP certification, please enter 000000 in this field.
9: At any time you can go back into your RAMP profile, by signing in to your account. You can click on "my family members" on the left side of the first page, and then click "edit" under your players name to add or change any information
10: Once you have registered as staff and your VSC or Declaration is approved, the HGHA registrar can assign you to a team and submit the roster for OWHA approval. Once approved you will be able to assist with the team on the ice and on the bench.
